Time Office The salary processing lead time was excessively long (credited on the 15th of every month), leading to high pilferage attributed to the variable pay structure for drivers. The mobile application developed using Zoho Creator has not only reduced the salary processing lead time but also enabled timely salary disbursement on the 5th of every month, leading to proven pilferage control of Rs. 3 lakhs per month.
Operations The installation of GPS devices for all 1,350 fleets did not result in meaningful reports as per the client's requirements. Consequently, the client spent considerable time using Excel to format reports for customer demands and internal analysis for strategic and management decisions. By integrating the GPS application with Zoho Creator and utilizing Zoho Analytics, the client can now generate reports and dashboards, analyze data effectively, measure KPIs for the operations team (billable and non-billable kms), and make informed decisions based on the insights gained.
Fuel The lack of data transparency and reliance on traditional bookkeeping practices led to challenges in consolidation and report generation. Difficulty in holding drivers accountable for kmpl mileage and inconsistency in data formats were hindering operational efficiency. By implementing a mobile application as a central database and leveraging analytics, the client can now efficiently generate various management information system (MIS) reports.
Compliance The absence of due date tracking for FC, Insurance, PC, Permit, and QT has led to increased penalties and a decline in reputation among customers. Developed a compliance module to track all due dates and provide cost projections.
Accounts Receivables Extended lead time for generating invoice annexures due to the variation in invoice templates across clients, each having unique billing cycles and billing clauses. The automated generation of annexures has significantly reduced workload and lead time, leading to a 40% decrease in error percentage.
Purchase & Inventory Inadequate material price tracking, vendor evaluation, and longer lead times causing operational inefficiencies. Enhanced transparency in vendor selection, conducted thorough vendor and price evaluations, provided real-time stock reports, and tracked stock value.
